SOFTWARE & WORKFLOW TOOLS
The systems I use to run telemedicine efficiently
Over the years, I’ve tested many platforms, tools, and workflows while building and operating telemedicine businesses. The resources shared here are the systems I personally use — or have found effective — for streamlining operations, improving organization, and supporting day-to-day clinical and business workflows.

These are the tools that help run and grow my own telemedicine businesses efficiently. I share them because they’ve worked well within my workflows, not because they are the only options available.

Please remember every practice and workflow is different, so I always encourage you to explore options and choose the systems that best fit your own needs, goals, and practice style.

EMR
PracticeQ
Electronic Medical Record (EMR) for Telemedicine Practices

* Free 2 week trial
- no credit card needed
When choosing an EMR for my private telemedicine practice, I was looking for a system that supported the full patient workflow while remaining affordable and flexible — especially during the startup phase. PracticeQ offered the key features I needed without requiring a long-term contract, which made it a practical option when getting started.

While no EMR is perfect, I’ve found that once everything was properly set up, it became a valuable part of my daily workflow. The platform includes HIPAA-compliant video visits, secure patient messaging, and tools that support both clinical documentation and patient communication in one place.

For providers looking for a reasonably priced, all-in-one system to begin or grow a telemedicine practice, this is one option worth exploring.
PAYROLL
Gusto
Payroll & HR Platform

*Earn up to $200 after running your first payroll.
*As of Feb 2026
For providers who have started their own private practice — especially those operating as an S-corporation — having a reliable payroll system becomes essential. Gusto is the payroll platform I use in collaboration with my accountant, Stephanie (featured in my Professional Services section).

One of the things I appreciate most is how easy the system is to use while still handling the important details behind the scenes. My accountant has direct access, which allows her to manage adjustments and ensure everything stays organized and compliant, making the process largely hands-off for me.

Gusto also offers the ability to add benefits and scale as your practice grows, which has made it a practical solution for managing payroll without added complexity.
EMAILING CAMPAIGNS
Kit (formerly Convert Kit)
Email Marketing & Automation Platform for Private Practices
* 14 day FREE trial
- no credit card needed
For private practice owners, your EMR manages clinical communication, but an email platform serves a different purpose — helping you build and maintain relationships outside of visits.

Whether someone visits your website and signs up for your newsletter as a potential future patient, or you want to create more meaningful engagement with your existing patients, email communication allows you to stay connected in a consistent and educational way. A monthly newsletter, in particular, can support a more concierge-style experience by keeping patients informed, engaged, and connected to your practice.

I personally use Kit within my own business because it’s simple to implement, easy to manage, and allows providers to create professional email communication without needing advanced marketing skills.
SOCIAL MEDIA PLANNING
Metricool
Social Media Scheduling & Analytics Platform

Free plan available — start with $0/month and upgrade only if you need more features.
As you build your private practice, marketing becomes an important part of helping patients discover and learn about your services. One of the biggest challenges providers face is finding time to stay consistent with social media while managing clinical responsibilities.

Metricool is the platform I use to schedule my content in advance, allowing me to plan posts in batches instead of creating them day-by-day. Bulk scheduling saves significant time, keeps messaging consistent, and removes the pressure of needing to post in real time.
For providers who want a more organized and sustainable approach to marketing, using a scheduling platform like Metricool can make social media far more manageable — so you can focus on patient care while your content continues working in the background.
